1. Introduction
Coco Corporate is a premium business agency. We equip influential individuals and empower entrepreneurs, which means we are trusted with a great deal of information about the people and businesses we work with. We take that seriously.
This policy explains what personal information we collect, why we collect it, what we do with it, and the rights you have. It applies to this website, to our services, and to anyone who enquires with us, applies to work with us, or becomes a client.
We process personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA) in South Africa. Where we handle information belonging to people in the United Kingdom or the European Economic Area, we also apply the UK GDPR and EU GDPR.
2. Who is responsible for your information
Coco Corporate (Pty) Ltd is the responsible party under POPIA and the data controller under the GDPR.
Our Information Officer is Celine Stark, registered with the Information Regulator of South Africa. She can be contacted at hello@cococorporate.com or at the address above.
3. What we collect
When you visit this website. Your IP address, browser and device type, the pages you view, how you arrived, and how long you stay. This is collected through cookies and similar technologies. See section 6.
When you enquire or apply for a service. Your name, email address, contact number, company name, website or LinkedIn profile, where you are based, your role, the stage your business is at, your answers about the challenges you are facing, your availability, whether you are in a position to invest, and anything you choose to upload.
When you apply to work with us. Your name, contact details, location, availability, the type of role you are looking for, your CV, your portfolio and your LinkedIn profile.
When you subscribe to our mailing list. Your name and email address.
When you become a client. Contact and billing details, the contents of our correspondence, and whatever information is necessary for us to deliver the service you have engaged us for. Where that involves handling information about your own clients, staff or suppliers, we act as an operator under POPIA and a processor under the GDPR, and we handle it only on your instructions.
When you buy something from us. Order details and delivery information. Payments are processed by our payment provider. We do not see or store your full card details.
4. Why we process it, and on what basis
To respond to your enquiry or application. Because you have consented by submitting the form, and because it is necessary to take steps at your request before entering into a contract.
To deliver our services and manage our relationship with you. Because it is necessary to perform our contract with you.
To consider you for a role. Because you have consented by submitting your application.
To send you marketing. Only where you have opted in, or where you are an existing client and the message relates to services similar to those we have already provided. You can withdraw at any time.
To understand how our website is used and to measure our advertising. Based on your cookie choices, and on our legitimate interest in running and improving our business.
To meet our legal, tax and accounting obligations. Because the law requires it.
5. Who we share it with
We do not sell your personal information. We never have and we do not intend to.
We share it only with service providers who help us run the business, and only to the extent they need it. These include our website host, our email and mailing list providers, our analytics and advertising providers, our payment provider, and our accounting and project management systems. Each is bound to protect your information and to use it only for the purpose we have engaged them for.
We may also disclose information where the law requires it, where we need to establish or defend a legal claim, or where it is necessary to protect someone from harm.
6. Cookies, analytics and advertising
This website uses cookies and similar technologies. Some are strictly necessary for the site to function, for example to keep your shopping basket working. Others are optional.
Google Analytics tells us how many people visit, which pages they read, and how they found us. It is configured through Google Site Kit.
The Meta Pixel tells us whether our advertising is working. It records when someone views a page or submits an enquiry form, and allows us to show relevant advertising to people who have visited this site. It sends this information to Meta Platforms, Inc.
We do not use these tools to identify you personally, and we do not upload your enquiry answers to any advertising platform.
You can control cookies through your browser settings, and you can opt out of personalised advertising through your Facebook and Instagram ad preferences, and through Google’s ad settings. Blocking cookies may affect how parts of this site work.
7. Sending information outside South Africa
Some of the providers we use are based outside South Africa, including in the United States and the European Union. Where your information is transferred across borders, we take reasonable steps to ensure it remains protected to a standard comparable to POPIA, whether through the provider’s own binding commitments, standard contractual clauses, or your consent.
8. How long we keep it
We keep personal information only as long as we need it.
Enquiries that do not become clients: up to 24 months, so that we can pick up the conversation if you come back to us.
Client records: for the duration of our engagement and for five years afterwards, to meet our contractual, tax and accounting obligations.
Job applications: up to 12 months, unless you ask us to keep your details on file for longer.
Mailing list: until you unsubscribe.
Website analytics: in line with the retention settings of the platforms described in section 6.
9. How we protect it
We use appropriate technical and organisational measures to keep your information secure. Our website runs over an encrypted connection, access to our systems is restricted to people who need it, and everyone who works with Coco Corporate is bound by confidentiality obligations and trained on how we handle information.
No system is completely secure. If a breach occurs that is likely to affect you, we will notify you and the Information Regulator as the law requires.
10. Your rights
You have the right to:
- ask what personal information we hold about you, and receive a copy
- ask us to correct anything that is inaccurate or incomplete
- ask us to delete information we no longer have grounds to keep
- object to processing based on our legitimate interests
- withdraw your consent at any time, without affecting anything we did before you withdrew it
- ask us to restrict how we use your information while a query is resolved
- receive your information in a portable format, where that right applies
- opt out of direct marketing at any time
To exercise any of these, email hello@cococorporate.com. We will respond within 30 days. We may need to verify your identity first.
11. Direct marketing
Every marketing email we send contains an unsubscribe link. You can also reply to any message and ask us to stop, and we will.
12. Children
Our services are intended for businesses and professionals. We do not knowingly collect information from anyone under 18. If you believe we have, contact us and we will delete it.
13. Complaints
If you are unhappy with how we have handled your information, please tell us first. We would rather fix it.
You also have the right to complain to the Information Regulator of South Africa at complaints.IR@justice.gov.za. If you are in the United Kingdom you may complain to the Information Commissioner’s Office, and if you are in the European Economic Area you may complain to your local supervisory authority.
14. Changes to this policy
We review this policy regularly and will update it when our practices change. The date at the top shows when it was last revised. Material changes will be highlighted on this page.
